A section in VOLUM3 displaying a directory of all registered companies on the platform.
Approval
A process in VOLUM3 where designated users review and approve items, with an indicator showing pending, approved, or needs revision status.
Archived Projects
Projects that are no longer active but remain accessible for reference.
Area Import
The ability to import all areas in a project from an .xls file to VOLUM3.
Area Types
Categories that classify spaces based on their function, such as residential, commercial, or service areas.
Areas Module
A section in VOLUM3 used for defining and managing different types of areas within a project.
Bill of Quantities (BOQ)
A structured document listing materials, labor, and costs associated with a project.
BOQ Item
An individual entry specifying a material, service,product or construction element, along with quantity and unit price.
BOQ Levels
VOLUM3 BoQ has five levels: Category, Type, Item Group, Item, and Element.
BOQ Module
A dedicated section in VOLUM3 for creating, managing, and collaborating on cost estimates.
Brand
Refers to all the brands that a company represents within the platform. It helps distinguish different identities, ensuring consistency across projects, communications, and documentation.
Comments
Notes or feedback added to a task to provide additional information, updates, or clarification.
Company
An organization registered on the platform. It serves as a central entity where team members collaborate on projects, manage documents, and streamline workflows within a shared workspace.
Company Administrator
Can create and manage projects, invite/remove users, and oversee workflows but cannot alter company account settings.
Full access, excluding account settings. Can invite/remove users and create projects, but cannot see projects without an invitation.
Company Owner
The highest-level administrator of a company account. They have full control over company settings, user management, project access, and billing. The Company Owner can assign roles, manage permissions, and oversee all activities within the organization.
Company Roles & Permissions
Defines access levels for company members, such as Owners,Administrators and Users.
Company Settings
A section in VOLUM3 where owners and administrators can configure and manage company-wide preferences.
Company Visibility
Defines whether a company profile is public (visible to all users) or private (restricted access).Visibility can be managed in Company settings.
Current Set
The finalized and approved version of official documentation visible to all project members. In VOLUM3, Tasks and Plans have a dedicated Current Set section.
Custom Area Types
User-defined categories for different project areas or spaces. These allow users to classify and organize areas based on their specific needs, improving project structure and navigation.
Delivery
The process of transferring tasks or specifications from the Working Set to the Current Set, ensuring that finalized or approved items are available for use in the active project phase.
Discipline
A predefined project category, such as Architecture, Structural, or MEP, used to organize tasks according to the main area of responsibility.
Export
Process of saving or transferring data from one application or system to another.
Data from VOLUM3 can be exported to Excel or PDF format.
Filters
Allow users to narrow down and show project data based on specific criteria, making it easier to view relevant information quickly. They can be applied to various elements.
Flyout window (Side panel)
A side panel that provides quick access to detailed item information, editing options, and actions.
Follow-Up Meeting
A recurring or subsequent meeting created based on a previous meeting.
Foreign Editors
A special role with restricted access granted to people outside the project, like contractors or consultants, who need to work on shared project items. They are not full project participants and cannot see project data.
Generate PDF Report
A feature that creates a structured, printable task and meeting reports in PDF format.
Grid View
A structured, table-like view that displays project data in rows and columns, allowing users to easily organize, sort, and analyze information.
Inline editing
Inline Editing allows users to modify text, fields, or attributes directly within the interface without opening a separate editing window.
Item Actions
Item Actions refer to the available operations that can be performed on individual items.
Lightbox
Window overlay that allows users to preview images, documents, or other media in an overlay without leaving the current page.
Linked Specifications
An option to link two or more specifications is here to help us distinguish separated products but still to merge them on the project. Each linked specification must be an entity on its own - afterward, they can be linked.
List View
A List View is a display format that presents data or items in a structured list, typically in rows. It allows users to view, sort, filter, and interact with multiple records at once
Markups
Annotations, comments, or visual indicators added to plans to highlight important details, suggest changes, or provide feedback.
Measurement Units (UoM)
The defined units (e.g., m², m³, kg) used to quantify BoQ items and specifications.
Meeting Administrator
A user who has full control over meeting settings, participants, and tasks.
Meeting Agenda
The initial stage of a meeting where topics and discussions are planned.
Meeting Archive
A section where all past meeting records (agenda and minutes) are stored in PDF format.
Meeting Date & Time
The scheduled time when the meeting will take place, with timezone support.
Meeting Follower
A user who receives meeting updates and minutes but does not actively participate in the meeting.
Meeting Location
A field to specify whether the meeting is online (via a link) or at a physical location.
Meeting Minutes
The finalized meeting notes that record decisions and discussions. In VOLUM3, they are created using Tasks, Topics, and Groups.
Meeting Participant
A user actively involved in the meeting who can contribute to discussions and tasks.
Meeting Reminders
Automated notifications sent for important meeting events to ensure timely action.
Meeting Report
A downloadable record of discussions, action points, and outcomes in PDF format.
Meeting Report Settings
Allows users to customize reports by specifying exactly which information to extract and how to present it.
Meeting Review Period
The time frame (e.g., 3 days) during which participants can provide feedback before the meeting is finalized.
Meeting Status
Indicates whether the meeting is upcoming, ongoing, or completed.
Meeting Title
A required name that clearly defines the purpose of the meeting.
Meeting Topics
Temporary items used to refine tasks before creation and to reserve time for non-actionable meeting segments like lunch or coffee breaks.
Milestones
Key checkpoints within a project stage that indicate critical progress points. In VOLUM3, they are a type of task.
Module
A functional section of the VOLUM3 platform for managing specific project aspects like meetings, tasks, plans, specifications, and BoQ.
Multiple Actions
A feature that enables users to perform bulk operations on selected items simultaneously.
Navigation Toolbar
Located on the left side for quick access to various site sections like Projects, Tasks, and Meetings.
OCR (Optical Character Recognition)
A feature that automatically extracts text from uploaded plans, like title, number, scale etc.
Outdoor Areas
Defined external spaces such as terraces, courtyards, and green areas.
Owner
Full control over the company profile, including user management, project creation, and administrative settings.
Partner Companies
The option to connect with other companies for collaboration on projects.
Permissions Management
Companies with whom you are working or you worked together on projects in VOLUM3.
Personal Settings
Access to edit personal details and notification preferences.
Plan properties
Additional information attached to a plan, such as author, discipline, and upload date.
Plan Upload
The process of adding architectural or project plans to VOLUM3.
Plan Versioning
A way of tracking different revisions of the same plan, ensuring users always have access to the latest version and can compare it to the past versions.

Private Meeting
A meeting that is only visible to administrators, participants, and designated followers who have been explicitly added. It is not accessible to anyone outside the approved list.
Product Association
The ability to link a brand to specific products in the company’s catalog.

Project Roles

Project Administrator
Manages the project, oversees project details and assigns roles to participants.
Project editor
Has full access to the project.
Can make changes, add content, and manage elements within the project
Project reviewer
Can only comment on the project, provide feedback and suggestions, but cannot make changes or add content.
Project viewer
Can see all the project information but has no permissions to add, modify, or comment on the project
Project Cards
A visual representation of projects with key details like name, role, and progress.
Project Invitations
The mechanism for adding users to a project while defining their role at the outset.
Project List
A centralized view displaying all projects a user has access to.
Project Role
A tag showing the role of a project participant on a project (Editor, Viewer, Reviewer).
Project Settings
A list where project details are displayed, there you can edit project information, manage roles, and add new administrators. It provides control over various project configurations and settings.
Project Stages
Defined phases within a project, each with distinct participants, timelines, and objectives. Common stages include Design, Construction, and Facility Management, ensuring a structured workflow and clear role distribution throughout the project lifecycle.
Project Status
A label indicating whether a project is active, pending, or archived.
Private Meeting
A restricted meeting visible only to selected users.
Public Meeting
A meeting that can be viewed by all users in the project.
Quantity Takeoff (QTO)
A feature that allows users to extract quantities directly from plans using measurement tools.
Recurring Meetings
An option to set up meetings on a repeating schedule (e.g., weekly, monthly).
Report Customization
Options to select specific task attributes, such as status, priority, or assigned users, before generating a report.
Report Sharing
The ability to download, print, or share reports with project stakeholders.
Role Assignment
The process of designating user roles at the time of invitation or through project settings.
Role Transition
The ability to change user roles as project needs evolve.
Search Bar
A tool for quickly finding specific projects by name or keyword.
Sidebar (Navigation Panel)
A collapsible left-side panel in VOLUM3 that provides navigation between submodules and selected filters related to a specific module, enhancing accessibility and workflow efficiency. It can be shown or hidden using the hamburger icon.
Specification Categories
Predefined or custom groups that help organize specifications by type (e.g., materials, finishes, equipment). Link
Specification
A detailed description of materials, products, or processes required in a project.
Specifications Module
A dedicated section in VOLUM3 for managing, organizing, and collaborating on project specifications.
Stage Permissions
Access settings defining which users or roles can view or edit each stage.
Stage Transition Rules
Conditions that determine when a project can move from one stage to another.
Tag
A label or keyword assigned to tasks, meetings, specifications, or BoQ items to help categorize and organize them efficiently. Tags enable quick filtering, searching, and grouping of related items.
Task
Work items assigned to individuals or teams with deadlines, priorities, and responsibilities to track progress and ensure completion.
Task Assignee
The person responsible for executing the task. Preferably, there should be only one assignee to ensure clear ownership and accountability.
Task Checklist Items
Subtasks or steps within a task that need to be completed to fulfill the main task's requirements.
Task Due Date
The deadline by which a task should be completed.
Task Follower
A user who is not directly responsible for a task but wishes to receive updates and notifications about its progress.
Task List
The main screen displaying all project tasks in a structured table format.
Task Priority
The level of urgency assigned to a task, indicating its importance relative to other tasks (e.g., Low, Normal, High, Urgent).
Task Reports
Exportable summaries generated in PDF of selected project tasks, that can include details such as status, assignees, and due dates.
Task Status
The current progress stage of a task, such as Not Started, Started, Finished, Closed, or Canceled.
Task Visibility
Determines who can view a task; tasks can be Public (visible to all project participants) or Private (restricted to task owners, assignees, and followers).
Two-Factor Authentication (2FA)
An optional security feature that enhances account protection.
Unregistered Meeting Participant
A non-VOLUM3 user who receives meeting agendas or minutes via email.
User
Standard access level with permissions limited to assigned projects; cannot create new projects or invite users.
Limited access, cannot invite users or see projects without invitations. Can become a project admin but can't create projects.
User Management
A tool for adding, removing, or updating users within the company.
Viewer
A read-only role that allows users to see project details without making changes.
Working Set
Work-in-progress documentation visible only to team members. This is the space where documentation is created, edited, and refined before being officially published. Once reviewed and ready, documents are sent to the Current Set via the Delivery process.
